Proper Barber Club, operated by Proper Barber Club Franchising Limited  of B3J 0E8 (“Proper”, “we”, “us”, “our”), is committed to protecting the privacy of our members, guests, and website visitors.

This Privacy Policy explains how we collect, use, disclose, and protect your personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”). 

By visiting our website http://www.properbarber.club , creating an account, purchasing a membership, or visiting our club, you agree to the practices described in this Privacy Policy.

2. Scope

This Privacy Policy applies to personal information we collect about:

  • Members and guests in our club
  • Users of our website and online booking platform
  • Individuals who subscribe to our marketing communications or participate in promotions

It does not apply to information about our employees, which is handled under separate policies.

“Personal information” means information about an identifiable individual, such as name, contact details, payment information, or booking history, as defined under PIPEDA.

We collect the following types of personal information, as appropriate:

    Name, address, email address, phone number, preferred pronouns.

  • Membership and booking information
    Membership type and status, appointment history, service preferences, notes about your preferred haircut or beard style, feedback, visit frequency.

  • Payment and transaction information
    Partial payment card details (where processed through a third party), billing address, transaction dates and amounts. We use third party payment processors and do not store full card numbers on our systems.

  • Online usage information
    IP address, device information, browser type, pages viewed, time spent on pages, and other analytics data collected through cookies and similar technologies.

  • Marketing and communication preferences
    Your consent choices for email, SMS, and other communications, along with engagement data such as email opens or link clicks.

  • Optional information
    Information you choose to provide, for example in surveys, contests, testimonials, or social media engagement.

We limit collection to what is reasonably necessary for the purposes identified in this Privacy Policy.

  • To create and manage your member or guest profile
  • To process membership purchases, renewals, and other payments
  • To schedule and manage appointments and send appointment confirmations and reminders
  • To provide our grooming and related services and maintain client notes so your service is consistent
  • To manage our loyalty, membership, and promotional programs
  • To communicate with you about your account, membership benefits, promotions, and club updates
  • To respond to inquiries, requests, and complaints
  • To operate, maintain, and improve our website and club operations, including analytics and reporting
  • To meet legal, regulatory, tax, and accounting obligations
  • Any other purpose for which you have provided consent or which is permitted by law

We will not use personal information for new purposes without identifying the new purpose and obtaining your consent where required.

We may share personal information in the following circumstances:

  • Service providers
    With third party service providers who perform services on our behalf, such as payment processing, online booking, email/SMS communication, data hosting, and analytics. These service providers are only given access to the information they need to perform their functions and are contractually required to protect personal information.

  • Franchise or affiliated entities (if applicable)
    With affiliated entities within the Proper brand or potential franchise system, where reasonably necessary to manage your membership and provide a consistent client experience.

  • Legal and compliance
    When required or permitted by law, for example in response to a court order, law enforcement request, or to investigate or protect against illegal activities or threats to the safety of any person.

  • Business transactions
    In connection with a business transaction, such as a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections and as permitted by law.

We do not sell your personal information. If our practices change, we will update this Policy and comply with applicable consent requirements.

8. International transfers

Our service providers may be located outside of Nova Scotia or Canada. As a result, your personal information may be processed in other jurisdictions, where local laws may permit government authorities to access information in certain circumstances. Our services are targeted to adults. We do not knowingly collect personal information from children under the age of 13. If you believe we have collected such information, please contact us so we can delete it.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top and make the updated version available on our website. Material changes will be highlighted or otherwise brought to your attention where required by law.
